In short
ReadyCheckGo uses information needed to provide the service, keep business records secure, support customers and meet legal or regulatory obligations. We do not sell personal information.
1. Who this notice applies to
This notice applies to people who use the ReadyCheckGo website, Android or iOS app, including business account holders, office users, administrators and drivers or other authorised asset users.
Where a business creates accounts for its staff or drivers, that business may also have its own responsibilities as a data controller for information it enters into ReadyCheckGo.
2. Information we may process
Depending on the features you use, this can include:
- account and sign-in information such as name, email address, role and business membership;
- business, vehicle, trailer, plant, machinery or other asset details;
- walkaround checks, inspection answers, mileage or hours, defects, repair notes, service records and timestamps;
- photos or files you deliberately upload, for example defect evidence;
- QR-code and sharing information needed to open an authorised asset or read-only record;
- technical and security information such as device/app version, IP address, browser or app identifiers, error logs and audit events;
- subscription status, product, purchase and transaction identifiers supplied by Google Play, Apple or a website payment provider. ReadyCheckGo does not need to receive your full payment-card number from those providers;
- location information only where a feature that needs location is enabled and used, and subject to the permissions available on your device.
3. Why we use information
- to create and secure accounts and control access by role;
- to provide checks, defects, repair records, reminders, asset records and related business functions;
- to preserve audit trails and evidence requested by the customer;
- to process and verify subscriptions and entitlements;
- to provide support, diagnose faults and improve reliability;
- to prevent misuse, fraud and unauthorised access;
- to comply with legal, accounting, tax, safety or regulatory requirements where applicable.
Our legal bases under UK data-protection law can include performance of a contract, legitimate interests, compliance with legal obligations and consent where consent is required.
4. Device permissions
ReadyCheckGo may request device permissions only when a feature needs them. For example, camera or file access may be used when you choose to scan a QR code or attach defect evidence. Location permission may be requested for location-based functionality. You can control permissions through your device settings, although disabling a permission may stop the related feature from working.
5. Payments and app stores
Purchases made in the Android app may be processed by Google Play. Purchases made in the iOS app may be processed by Apple. Website payments may be processed by a payment provider such as Stripe when that option is available.
Those providers process payment information under their own privacy terms. ReadyCheckGo normally receives the identifiers and status information needed to verify the purchase and activate the correct account entitlement.
6. When information may be shared
Information may be shared only where reasonably necessary, including with:
- hosting, infrastructure, security and technical service providers acting for the service;
- Google Play, Apple or payment providers in connection with purchases and entitlement verification;
- people the business customer deliberately authorises, such as an auditor or roadside examiner through an appropriate sharing feature;
- professional advisers, insurers, regulators or law-enforcement bodies where disclosure is legally required or reasonably necessary.
We do not sell personal information to advertisers.
7. Retention
We keep information for as long as needed to provide the service and for reasonable business, security, audit, legal and regulatory purposes. Vehicle and safety records may need to be retained after a user stops actively using the app because the customer may rely on them as business or compliance records.
When information is no longer required, it is deleted or anonymised where reasonably practicable. Limited copies can remain temporarily in protected backups.
8. Account and data deletion
Users may request deletion of their ReadyCheckGo account and associated personal data. Some records may need to be retained or anonymised where they form part of a business safety record, financial record, fraud/security record, legal claim or other record that must reasonably be preserved.
Where the account is controlled by an employer or another business customer, ReadyCheckGo may need to coordinate the request with that organisation.
9. Security
ReadyCheckGo uses technical and organisational measures intended to protect information against unauthorised access, alteration, disclosure or loss. Access to business data is restricted according to account permissions and product functionality.
No internet service can guarantee absolute security, so customers should also protect passwords, devices and authorised sharing links.
10. International processing
Some service providers may process information outside the United Kingdom. Where this happens, appropriate legal safeguards are used where required by UK data-protection law.
11. Your rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase or restrict personal data, object to certain processing, and receive certain data in a portable form. You may also have the right to complain to the UK Information Commissioner's Office.
12. Children
ReadyCheckGo is business and professional software and is not intended for children.
13. Changes to this notice
We may update this notice when the product, law or our service providers change. The latest version will be published on this page with its updated date.
14. Contact
Privacy enquiries relating to ReadyCheckGo can be raised through the contact details published on the ReadyCheckGo website.
